Privacy Policy

Information Collected

• For analytics, Tropical uses Plausible Analytics (a lightweight, privacy-first web analytics tool) and PostHog. Neither of these tools collect any personally identifiable information.
• For crash reports, Tropical uses a tool called Sentry. It does not collect any personally identifiable information.
• Tropical sets cookies for authentication purposes as well as to enable essential functionalities of the platform. Tropical sets up a cookie to mark the user's session ID, a cookie with the session signature to prevent tampering and a cookie to tell the browser who the current user is. For its affiliate program, Tropical uses LemonSqueezy, and uses a script to track your source of sign up.
• Mobile apps (Apple platforms): Tropical is available as native apps for iPhone, iPad, Apple Watch, and related Apple extensions. Those apps connect to the same Tropical account and backend described in this policy, and information you record, upload, or otherwise provide through them is handled consistently with the rest of this Privacy Policy (including sections covering audio, notes, analytics, crash reporting, payments, and our service providers).
• Custom keyboard extension: Tropical may provide an optional third-party keyboard extension on iOS devices. Apple may ask you to enable 'Allow Full Access' for that keyboard. When enabled, the keyboard may communicate with the main Tropical app and your signed-in session using mechanisms Apple provides and may use network access when needed so keyboard-related features can work with your Tropical account and our services. Full Access is optional, but some keyboard features may not work without it. You can turn it off or remove the keyboard at any time in iOS Settings.
• Mobile apps (Android): Tropical is also available as a native app for Android devices. It connects to the same Tropical account and backend described in this policy, and information you record, upload, or otherwise provide through it is handled consistently with the rest of this Privacy Policy. Tropical also offers voice typing on Android through a floating bubble that appears over your other apps: tapping the bubble lets you speak, and Tropical converts your voice note into text and inserts it where you are typing. For this to work, Android will ask you to grant Tropical certain permissions — such as permission to display over other apps, and accessibility access so the transcribed text can be inserted into the app you are using — and Android may show a standard warning when you enable accessibility access. When enabled, voice typing communicates with the main Tropical app and your signed-in session and may use network access to create the final result: your audio is currently transcribed locally on your device, and the transcribed text may then be rewritten using AI in the cloud. These permissions are required for voice typing to work, for the same reasons Full Access is used on iOS. You can turn voice typing off or revoke these permissions at any time in your Android settings.
• Desktop app (Windows): Tropical is also available as a desktop app for Windows. The Windows app connects to the same Tropical account and backend described in this policy, and information you record, upload, or otherwise provide through it is handled consistently with the rest of this Privacy Policy (including sections covering audio, notes, analytics, crash reporting, payments, and our service providers).
• For creating shareable images from your notes, Tropical uses APIs provided by Bannerbear. As a result, this data is transmitted between Tropical and Bannerbear during the process of creation, and is stored on Bannerbear's servers after creation. Information about their privacy policy can be found on the Bannerbear website.
• For processing your audio and summarising its transcripts, Tropical uses APIs provided by OpenAI, ElevenLabs, Replicate and Groq. As a result, this data is transmitted between Tropical and OpenAI / ElevenLabs / Replicate / Groq during the process of creation, and may be retained by these providers for a limited period in accordance with their respective privacy policies. Along with your audio, the custom vocabulary you save in Tropical (your "special words") may be shared with these providers to improve transcription accuracy. Your data is not used to train their models. Parts of this processing pass through Tropical's own relay services, which run on Cloudflare infrastructure and do not store your audio. Further information about their privacy policies can be found on the OpenAI, ElevenLabs, Replicate, Groq, and Cloudflare websites.
• Device permissions: Depending on how you use Tropical on Apple devices, the app may request permission to use the microphone (including on Apple Watch) to capture audio notes, Face ID or Touch ID to lock the app on your device, and speech recognition (where supported by the device and the feature you use). Whether permission is required for a given feature is determined by Apple's permission prompts and your choices; declining a permission may limit or disable related functionality. Audio captured for notes may be processed on your device and/or sent to Tropical's systems and third-party processors as described elsewhere in this policy.
• For delivering emails, Tropical uses Loops (www.loops.so). Your email address may be stored within their servers. Tropical has access to information regarding the delivery and opening activity of those emails through Loops.
• Tropical does not directly collect payment information. Tropical uses Lemonsqueezy (www.lemonsqueezy.com), Stripe (www.stripe.com) and RevenueCat (www.revenuecat.com) to process payments and as a result of this integration the following items of your data may be visible to Tropical through the tools provided by Lemonsqueezy, Stripe, and RevenueCat — the last 4 digits of your credit card, its expiry date, the card type, the card issuer, your billing address, your billing email address, your name, your country, the amount paid to Tropical, and the taxes paid on the transaction.
• When you record and create content on Tropical you do so of your own volition. Tropical does not require you to submit any personal data nor will it process the personal data that might be contained in your content.
• When you register, Tropical only collects from you a valid email address that you control.

Use of Information

The personal information collected will only be used to provide you the services that you have subscribed to receive from Tropical and to continually enhance your experience on Tropical.

Data Retention, Deletion, and Export

• If you would like to receive any other data related to your account, please write to hello@audiopen.ai requesting the same. Your request will be completed within 30 days of the confirmation of its receipt, provided the data requested does not infringe on the privacy of other users.
• If you would like to delete your entire account, you can do so at audiopen.ai/delete.
• If you would like to delete the data associated with your account, you can do so in the account tab of your account.
• If you would like to export the content created by you on Tropical, you can do so by clicking on the export button on your Account tab. A CSV file with the data will be downloaded to your system.
• All content created during your use of Tropical is not visible to other users. However, data stored on our servers is retrievable to the operators of Tropical. Tropical uses Bubble (Bubble.io) and Xano (www.xano.com) for its databases, and they both encrypt data at rest.
• The audio from your successfully processed recordings are auto deleted from our servers within 48 hours of their recording taking place. For voice typing (QuickType Mode) on the dedicated Mac app, you can choose between two transcription modes in the app's settings. In local transcription mode, your audio is transcribed on your device, is only stored locally, and never leaves your Mac. In cloud transcription mode, your audio is streamed to our transcription providers for processing while you speak, as described in the Information Collected section; Tropical's relay does not store this audio. In both modes, a copy of each recording is kept locally on your Mac and is removed automatically according to the retention period you choose in the app's settings.
• All notes created by you and stored on our servers will be retained only for as long as your account remains in existence.
